Definition of Terms

Rapporteuring

Rapporteuring is a process of recording the proceedings of the conference. This process may be done for specific sessions individually. All or parts of the proceedings of the conference are recorded with the intention of compiling them to form the conference report. Recorded proceedings can also be used for reference purposes.

Facilitation

Facilitation in business, organisational development (OD) and in consensus decision-making refers to the process of designing and running a successful meeting.

Facilitation concerns itself with all the tasks needed to run a productive and impartial meeting. It serves the needs of any group who are meeting with the aim of making a decision. It does not lead the group, nor does it try to distract or to entertain. Facilitation will be conducted by a facilitator working with a team of co-facilitators. It is a process whereby the facilitator and the team lead the group towards an agreed upon outcome. This outcome is usually the intended outcome and planned objectives set by the group being facilitated. Facilitation may be done by an external person or a member of the group. Where a group of individuals have identified an interest in a conference topic, the group will be guided by a facilitator in an in-depth discussion of the topic possibly resulting in a recording of discussion in the form of suggestions, solutions or resolutions.

Record keeping

Record keeping can be either financial or non-financial. It can be narrative or in matrix form. For purposes of this conference, record keeping shall only refer to the narrative recording of daily conference sessions, with a specific focus on the parallel events.

Minute taking

Minute taking is the recordings of proceedings and discussions of a meeting held before, within and after the conference.

Reporting

Reporting is a compilation of all proceedings and matters that transpired before, during and after the conference.

Panel

A panel shall constitute a group of experts on a particular topic, area or field. These will be referred to as panelists. For all intents and purposes they shall each make a brief presentation on a particular subject and later be prepared to answer or respond to questions from the audience. A panel is chaired by an individual, who will facilitate questions to the panelists, discussions and debate.

Commission

For the purposes of the conference, a commission shall refer to a group of individuals that will discuss a particular topic or subject in such a manner that they emerge with firm resolutions to be shared with the rest of the conference.

Themes

Themes are phrases that hold meaning and will be used for a particular day. Themes to be used during the conference will mainly be based on the MDGs.

Group discussion

Group discussions will constitute a group of individuals with similar interests in a subject. Guided by a facilitator they will hold discussions and debates that will assist in generating/emerging with ideas and recommendations to be used by the conference.

Regional meetings

Regional meetings or sessions will constitute individuals from the six respective continental regions. This demarcation is for the simple purpose of identifying specific issues of the regions and, where possible, identify similarities and best practices as well as propose alternate solutions and strategies.

Workshops

A workshop is a training session. It emphasises problem-solving, hands-on training, learning new skills and requires the involvement of the participants. Training refers to the acquisition of knowledge, skills and competencies as a result of the teaching of vocational or practical skills and knowledge that relates to specific useful skills. Workshops will be led by a facilitator and will basically be a learning process for the individuals involved. This will be in a lecture style where there will be a presentation followed by a questions and answers session. Proceedings for a workshop can also be used to embellish the conference proceedings and report.

Seminars

A seminar is a form of academic critique and debate offered by specialists or professional organisations. During this conference a seminar will also include the sharing of development practice and implementation methodologies. It has the function of bringing together small groups focusing on a particular subject, in which everyone present is requested to actively participate. This is often accomplished through ongoing dialogue with a seminar leader or instructor, or through a more formal presentation of material. The idea is to familiarise participants more extensively with the
methodology of the chosen subject and also to allow them to interact with examples of practical development work.

Keynote speaker

An invited person that will deliver an address/presentation on the specific theme in order to set the tone of the conference. The keynote speaker might be able to answer some questions if time allows.

Chairperson

Will be responsible for chairing sessions and or seminars for the day and where the presenter and facilitator will reports to. It is also the person, who will be responsible for maintaining order, introduces and thanks keynote speakers and ensures timekeeping during the sessions.

Presenter

A person who is responsible for presenting a topic during workshops and seminar sessions. The person will also be responsible for bring resource material.

Facilitator

A facilitator will guide the seminars, workshops, commissions, and group discussions towards its agreed outcomes. The person will act as the chair and time keeper for the different group sessions outside of plenary.

Report writers

There will be two official report writers for the conference, whose ultimate task is the production of the final conference report. The report writes will supervise the daily work of the scribe as well as assess the daily reports during the conference. The report writers will submit a summary of daily proceeding to the facilitation team in order to prepare the next days feedback session. The report writers will also prepare the content of the conference newspaper. Prior to the conference the report writers will research background papers on the topics to be discussed during the conference and arrange for them to be available for all participants.

Scribe

A person who has been tasked with the responsibility of electronically capturing relevant and key information during workshops, plenary session, commissions, group discussions, regional meetings and panel discussions. All captured information will be provided to the report writers for the conference at the end of each session.


Planning Committee

A group of individuals selected form different provinces to make up the organizing team for the conference. This committee is chaired by the Archbishop of Cape Town and responsible for all programme alterations and changes. Responsible for the overall running of the conference. Can be called upon to assist with matters in relation to the conference matters.

Ubuntu Buddies

They are the first point of contact for delegates identifiable by their specific dress code. They are responsible for meeting assisting delegates in the customs terminal and guide them to the TEAM Kiosk for welcome drinks and shuttle services. They will assist the registration team with the registration process. They will be in charge of luggage handling and room drop offs. Will act as gofers during the conference. Not more than 10 delegates to 1 buddy. Will assist the secretariat where needed.

Conference Chaplain

The conference chaplain will chair the conference worship team and delegate responsibilities pertaining to the daily Eucharist and evening prayers.


Worship team

A group of individuals that is responsible for organizing all the services during conference. This is a mixed group representing the different regions, and dioceses. Will ensure that the celebrant, preachers and service leaders are present and that the service starts in time. The team should ensure creativeness in the service to cater for all the regions present at the conference. Ensure that all materials for the service are provided fro delegates at all services. This team is going to be headed by the conference chaplain.

Prayer counselors

Persons who are responsible for working alongside the Conference Chaplain in providing prayer support to conference delegates for the duration of the TEAM conference.

Media Liaison

Responsible for dealing with and/or handling all issues related to media houses (electronic, print media). To be responsible for the production of press statements around conference activities and resolutions. Responsible for handling press conferences around the issues of the conference. Invite and accredit media and ensure that the media house room is properly managed.

Journalist

An external person usually representing a media company who will be responsible for interviewing delegates during pre set media briefings. All journalists need to be accredited through the media liaison officer.

Conference Newspaper

A periodic publication that details the highlights of the conference. It is produced during the conference and offers the conference delegate a summary of the current debate and discussion during conference including pictures. The newspaper may also include opinion pieces submitted by the conference delegates.

Event Manager

An event manager is responsible for overall logistical management of the event; She/he will also be responsible for the following flight reconfirmations, airport transfers, dietary requirements, accommodation, venue logistics and layout.


Secretariat

Responsible for registration and will have update of the daily running of the conference. Secretariat will be in charge of the photocopies, facilitate conference reimbursements.
